Preservation and Digital Archivist

Position Summary

Reporting to the Director of Distinctive Collections and Digital Engagement, the Preservation and Digital Archivist is responsible for all aspects of the University's archival collections including: acquisitions, preservation, arrangement and description, outreach, technology, and digital projects. Develops a digital records practices. The incumbent provides archival reference related to the University Archives collections.

The Preservation and Digital Archivist develops and implements library-wide programs for preservation, disaster preparedness and other efforts to enhance preservation of library material, according to national standards, and provides leadership and direction for comprehensive library preservation programs, including defining and prioritizing needs, establishing goals, objectives, plans, and their implementation in alignment with the library's strategic direction

Duties and Responsibilities

  • Manages archival collections in print and digital formats, providing appraisal, arrangement and description, research support, and reference services. Coordinates with University offices for the disposition of materials in accordance with University policies and procedures. Provides researchers access to materials in accordance with policy. In collaboration develops and implements innovative archival outreach programming and services.
  • Provides leadership and development of library-wide preservation and disaster preparedness programs, including defining and prioritizing needs, establishing goals, objectives, plans, and their implementation in alignment with the librarys strategic direction.
  • Provides staff training, direction, and mentoring.
  • Leads and contributes to programs, goals and strategic initiatives of the Collections & Scholarship, Falvey Memorial Library, Villanova University and professional organizations, as appropriate
  • Performs additional duties and assists with special projects as assigned.


Minimum Qualifications

  • MLS or equivalent degree from an ALA-accredited institution with a focus in archival studies; or a Masters degree in History with an archival concentration, required.
  • Extensive knowledge of digital archives and emerging digital curation practices.
  • Experience with archival management best practices in an academic setting.
  • Extensive knowledge of DACS, EAD, DCRM, and other archival and rare materials descriptive and encoding standards.
  • Knowledge of national preservation standards and best practices.
  • 1+ years of experience in an academic library or cultural heritage library/archive.
  • 1+ years of experience with issues related to the preservation of various formats.
  • Ability to work independently with minimal supervision.
  • Collaborative approach to problem solving and working across organizational boundaries in service of user needs.
  • Demonstrated ability to set priorities, exercise flexibility in meeting objectives, effectively manage multiple projects simultaneously, and adjust as circumstances change.
  • Demonstrated interest and enthusiasm for developing and maintaining relationships with diverse user communities.
  • Excellent communication, analytical, problem solving, and organizational skills with the ability to present information and ideas clearly and concisely.
  • High level of creativity, innovation, and strong concept skills.
  • Meets organizational competencies identified by the library.
  • Ability to maintain absolute confidentiality and integrity according to University Policy in regard to archival materials.
  • Strong customer service skills including the ability to be responsive to service needs of constituents in a courteous and consistent manner.
  • Extensive knowledge of digital description software (Archivist Toolkit/Archives Space), MS office suite, image and audio transformation software.


Preferred Qualifications

  • Second graduate degree in a relevant discipline, preferred.
  • SAA Digital Archives Specialist certificate, preferred.


Physical Requirements and/or Unusual Work Hours

  • Prolonged sitting, standing and walking for up to 4 hours at a time, frequent bending and lifting, able to lift up to 40 lbs of library materials while moving/walking, pushing and pulling a book truck (4 wheels) of library materials weighing between 50 and 100 lbs., ability to climb several flights of stairs on an occasional basis.
  • Preservation and Digital Archivist may be required to work evenings, weekends and/or holidays to meet service needs for outreach, donor relations, research support, and instruction.
